Configure Automated Follow-up Workflow

Configure follow-up workflow to automatically identify first-timers, create tasks and notify your follow-up teams to complete follow-ups.

Complete the configuration of the following fields:

  1. Task Name: Give a name to your workflow.

  2. Task Description: State what the workflow does.

  3. Task Criteria:

    • Individual follow-up: Specify if you want VecApp to identify and create task cards for each new individual visitor.

    • Family follow-up: Specify if you want VecApp to identify new Visitors but create card only at a family profile name level rather than for each Visitor.

  4. Task Assignee: Add the “Role” name or the user route the created task to.

  5. Task Due Date: The latest time for each task to be completed from the time of creation.

  6. Task Execution Date: Set the day and time you want VecApp to identify First-timers recently added to the system. These are First-timers created since the last follow-up task execution date and are without an existing follow-up task.

  7. Task Notification Frequency: Specify the frequency of notifications for each task status.

Follow the steps below to create an automated follow-up workflow.

Steps:

  • Access "Admin View."

  • Navigate to Member Care”, then “Templates."

  • Find and open a new “Automated Follow-up” Task Template.

  • Complete configuration and save.
